Development Coordinator (Level VI)
Salary: Salary Range: $34,320-$48,880
Number of Hours Per Week: full-time (40 hours per week)
Reports To: Director
Job Description: Responsible for coordinating library development, including a capital campaign, ongoing fundraising, grant proposals, direct appeals, special fundraising events, and related duties at the request of the Director and in cooperation with other staff and volunteers.
Responsibilities & Duties:
- Developing, implementing and evaluating annual, long-range and capital development plans to promote financial support for library services, facilities, and programs with itemized strategies for meeting contributed income goals.
- Develop donor awareness of library needs and relationships with potential donors.
- Solicit planned and annual giving from private donors in coordination with the library staff, board, Friends and other volunteers.
- Identify and secure grants and gifts from corporate foundations, charitable trusts, and government agencies; research, develop, and write grant proposals in cooperation with other library staff.
- Make in-person and written solicitation appeals; develop a procedure to follow up on pledge payments.
- Coordinate and organize fundraising activities in cooperation with other library staff and volunteers.
- Helping identify, cultivate, recruit, and develop fundraising volunteers and leadership; train, place, coordinate and supervise fundraising volunteers.
- Creating and implementing an on-line giving program.
- Ensuring that grants and gifts received are acknowledged and that required reports are filed in a timely manner; manage reporting system; prepare timeline and tracking system for proposals, and prepare and distribute ongoing status reports.
- Remaining abreast of federal and state grant opportunities and requirements.
- Creating and coordinating library public relations and publicity in all formats, such as news releases, newsletters, PowerPoint, displays, reports, mailings, flyers and other promotional materials, including a section of the web site, when related to development and in cooperation with communications staff.
- Preparing a year-round calendar for fundraising activities and achievements.
- Establishing good working relationship with media representatives, donors and potential donors, Friends and supporters of the library.
- Building partnerships between the library and other businesses, organizations, and public entities; representing the library at appropriate meetings including governmental meetings.
- Giving presentations on library development needs for community groups in cooperation with other department heads.
- Participating in professional activities and attending relevant workshops and conferences.
- Cooperating as a team member with other department heads.
- Performing other related duties as assigned.
Necessary Knowledge, Skills and Abilities:
- Proven track record of fundraising and grant writing initiative and achievement.
- Experience with a major capital campaign.
- Possess good working knowledge of charitable estate planning arrangements. Knowledge of legal and tax laws and regulations pertaining to charitable contributions and fundraising.
- Knowledge of and adherence to ethical standards for fundraising professionals.
- Knowledge of fundraising resources such as databases, directories, etc.
- Knowledge of donor research techniques.
- Experience with donor software such as Raisers Edge.
- Experience with budgeting.
- Excellent organizational skills.
- Excellent writing and other communication skills.
- Experienced public speaker.
- Strong customer service orientation and experience working with volunteers.
- Ability to exercise confidentiality, good judgment, diplomacy, and tact in working with others.
- Ability to work in close quarters and get along with all types of people.
- Experienced in using graphics, desktop publishing, and word processing programs to create flyers, newsletters, posters, etc.
- Creative approach to projects and challenges.
- Ability to multitask and to meet deadlines.
- Ability to set realistic standards for self and others.
- Ability to work and communicate effectively with public and staff, including management, and to remain calm in stressful circumstances.
- Supervisory experience and skills.
- Ability to type, to read written materials, to maintain files, to operate computers and other library machines and equipment.
- Ability to transport library and display materials to other sites.
- In compliance with the Americans with Disabilities Act, the following represent the physical and environmental demands of this position: this position requires approximately equal amounts of time spent standing, walking, and sitting. Lifting, pushing/pulling, and carrying of objects weighing up to 25 pounds is sometimes required, with a maximum of 40 pounds infrequently required. Climbing, stooping, kneeling, crouching, twisting, and bending are sometimes required. Repetitive movements of the hands and arms are sometimes required.
Minimum Qualifications: Requires a Bachelors degree in marketing, public relations, business or communications. A total of at least three years of successful experience in field of fund raising and development, preferably for governmental or non-profit agency. Must be available to work some nights and weekends. Valid driver’s license and access to a vehicle are required.
