Collection Services Assistant

The library is looking for a full-time Collection Services Assistant.  This position provides library materials to the public by receiving, processing, and cataloging library materials.
Primary Responsibilities:
  • Responsible for physical periodicals, including placing orders for the titles selected by selector, canceling & renewing periodicals with vendors per selectors decisions, receiving, processing, and claiming missing issues, as well as weeding issues per the library’s guidelines.
  • Catalog and classify all print resources for input into the online database, including searching OCLC, editing bibliographic records, and checking authority files when needed.
  • Perform database management activities including the identification and resolution of database related problems, processing changes, pre-processing, reclassification and repackaging projects.
  • Edits item & bibliographic records for library materials as needed.
  • Adds copies of library materials to bibliographic records.
  • Deletes item records from ILS when materials are identified for weeding.
  • Receives new materials in the Library ILS, checking them against order information and checks items against invoice, verifies accuracy and initials when correct, then passes them on to the Department Head for approval.
  • Receives and maintains standing orders which includes recording receipt on the master standing order cards and alerts Department Head if there are problems.
  • Identifies problems when materials received do not match order files, and route to appropriate personnel.
  • Rotates NEW items into the collection by removing them off the shelf according to the library’s policy, changing the item types and locations and removing NEW labels.
  • Assists with the physical processing and repair of library materials as needed.
Necessary Knowledge, Skills, and Abilities:
  • Ability to work and communicate orally and in writing, in an effective manner, with vendors and staff.  Capacity to communicate effectively on the telephone.
  • Ability to type, to read written materials, to maintain files, to operate computers and other library machines and equipment.
  • Knowledge of various computer programs, bibliographic support systems and the Internet.
  • Attention to detail.
  • Ability to work as a team member and independently as needed.
  • Ability to retrieve and return books and other library materials to shelves or other designated places.
  • In compliance with the Americans with Disabilities Act, the following represents the physical and environmental demands of this position: this position requires approximately equal amounts of time spent standing, walking, and sitting.  Lifting, pushing/pulling, and carrying of objects weighing up to 40 pounds is sometimes required.  Climbing, stooping, kneeling, crouching, twisting, and bending are sometimes required.  Repetitive movements of the hands and arms are sometimes required.  Visual and verbal functions are essential to performing this position.
  • Library experience is preferred.
Minimum Qualifications:
  • Require basic knowledge of library systems and technical skills in computerized systems.
  • Equivalent to two years of college education and two to three years of experience in library operations with a focus on cataloging and technical processing.
$18.50-$23 per hour (depending on experience and qualifications)
